Use case · Microsoft Copilot

A Microsoft Copilot rollout that people actually use.

Copilot pays off when your data is ready, the right people get it first and they are shown how it fits their daily work. Here is a rollout plan that avoids unused licences and oversharing.

Step 1: get the data ready

  • Review SharePoint, OneDrive and Teams sharing. Remove “everyone” access where it is not needed.
  • Label sensitive content such as payroll, HR and contracts, and apply protection.
  • Archive or remove stale sites and duplicate files that would confuse answers.
  • Confirm multi-factor authentication and device policies are in place.

Step 2: choose a pilot group

Pick people whose days are full of email, meetings, documents and spreadsheets: managers, sales, finance and HR are common choices. Include a few sceptics. Agree in advance what you will measure: time saved on named tasks, how often Copilot is used, and what users say.

Step 3: train by role, not by feature

A demo of every button does not change habits. Show each role three or four tasks from their own week: summarising a long email thread, drafting a proposal from an existing document, preparing meeting notes and actions, analysing a sales sheet. Share a short prompt guide and an AI use policy.

Step 4: measure and extend

Microsoft 365 provides usage reporting for Copilot. Combine it with a short survey after a few weeks. Extend licences to the roles that use it most, and decide whether some needs are better met by a custom AI agent instead — see Copilot or a custom agent.

Questions people ask

What is Microsoft 365 Copilot?

Copilot is Microsoft’s AI assistant inside Word, Excel, PowerPoint, Outlook and Teams. It drafts, summarises and answers questions using the content each user already has permission to see in your Microsoft 365 tenant.

Why does a Copilot rollout need preparation?

Because Copilot respects existing permissions. If files are overshared, Copilot can surface them to people who should not see them. Cleaning up permissions, labelling sensitive data and setting policies comes first.

Should we buy Copilot for everyone?

Usually not at the start. Run a pilot with a group of people whose work involves heavy drafting, email and meetings, measure how they use it, and extend licences based on evidence.

Can Missan.AI supply Copilot licences?

Yes. Missan Global is a Microsoft Cloud Solution Provider and a Microsoft Solutions Partner for AI Business Solutions, so licences, readiness and adoption can be handled together.
